Who We Are:

IT Support Services group is a part of the Information Technology Services Department. The Support Services team is responsible for providing centralized technology support to faculty, staff, and students. Our group consists of Service Desk operations, Endpoint Systems Management, and Project Engagement. We are a highly service-oriented, people first organization that provides robust, reliable, adaptable, and innovative technological resources through which the College community is empowered to accomplish the College’s mission and strategic plan. The opportunity:

The Project Engagement Specialist is responsible for facilitating the efficient management of IT projects and change initiatives as assigned. Reporting to the Project Engagement Manager, this position collaborates with stakeholders to collect feedback, identify areas for improvement, and implement strategies aimed at enhancing customer engagement and project success. This role is also responsible for training, documentation management and executing educational and awareness campaigns, serving as a technology communicator, and change agent for the Swarthmore community.

Essential Responsibilities

Project Management:

  • Collaborate with ITS staff on technology projects, fostering effective communication, and implementing change management strategies for the College community. Act as a liaison between project teams and stakeholders, facilitating clear communication.
  • Track project processes, providing prompt assistance, and devising client-specific solutions.

Change Management and Implementation:

  • Collaborate with campus stakeholders to identify, prioritize, and implement change management strategies, facilitating training sessions and workshops to support staff in adapting to changes.

Technical Writing and Documentation Management:

  • Work with subject matter experts to create and maintain technical documentation, ensuring alignment with ITIL service methodology and inclusive language standards.
  • Facilitate the development, maintenance and review of the Department Knowledge Base.

Technology Training and Outreach:

  • Stay informed about emerging technologies and ITS activities, connecting community members with relevant resources.
  • Participate in the development and review of our IT communication strategy.
  • Participate in the planning and execution of cybersecurity awareness and training campaigns.
  • Design and implement engaging and easily accessible social media outreach initiatives.
  • Develop and execute technology training strategies to meet the synchronous and asynchronous needs of the Swarthmore community.
  • Engage with the community to comprehend technology needs, devise creative solutions, and implement IT engagement strategies accordingly.

  • Proven experience in developing and delivering technology training for a diverse audience.
  • Well-versed in technical writing and documentation management.
  • Adept at facilitating diverse technology awareness and social media campaigns.

What you bring:

Required Qualifications

  • Bachelor's Degree with at least 2-5 years experience or equivalent combination of education and experience.
  • Knowledge of project management principles and methodologies.
  • Proven experience in a customer service or engagement-focused role, preferably within higher education
  • Working knowledge of ITIL service methodology, including incident, problem, change management, and documentation structure.
  • Two or more years of experience as an effective technical writer, along with a background in translating complex technical information into clear, concise, and user-friendly documentation.
  • Experience with various online learning and social media platforms.
  • Excellent interpersonal, verbal, and written communication skills with the ability to explain technology-related concepts in plain language to a diverse population.
  • Solid understanding of IT infrastructure, systems integration, operating systems, software, cloud services, and video conferencing applications, including (but not limited to) Windows, Mac, Microsoft Office, Google WorkSpace, Zoom, password management services, and multi-factor authentication services.

Preferred Qualifications

  • ITIL/Project Management certification is a plus
