Senior level position that plays a key role in the management of the Admissions Office and in the recruitment of the College’s first-year and transfer class. The Director manages technology and operations, including independent leadership of senior level programs and projects as assigned, as well as supervising staff. The Director is the primary liaison and program manager for Slate CRM activities, training, presentations, project brainstorming and management, and feedback. This position requires far-reaching technical and analytical abilities to leverage and manage Slate CRM, as well as strong communication skills.

Essential Responsibilities:
Manage a team of systems support and technical analysts; manage a team of operations and administrative assistants; manage the prospect, inquiry, and applicant pools of data; audit and adjust existing processes, data sources, mapping, and data collection methods; build relationships across departments and campus constituencies; manage new and existing Slate projects, including admissions portals, program applications and events, Slate-web interfaces, Deliver functions, reports, queries, forms, rules, mapping, import/export schedules, student records, organization records, and contact database.

SLATE CRM PROJECT MANAGEMENT

  • Strong project management experience, from creation to execution and evaluation, is essential.
  • Serving as primary liaison and Slate Captain for Slate activities, training, presentations, project brainstorming, and feedback. Attend regular meetings with various administrative offices and campus partners, as needed. Primary liaison for Admissions and ITS.
  • Partner with other departments on campus, including, but not limited to: Registrar’s Office, Dean of Students Office, Financial Aid, Institutional Research, ITS, and International Students Office.
  • Serve as point of contact for all Admissions data-related inquiries campus-wide and externally. Responsible for providing necessary and accurate information for student and related systems to constituents.
  • Proactively anticipate process development, data generation, read and interpret data, use data to investigate processes and find source errors, and use data to provide feedback to staff regarding project areas.
  • Manage the data from all application platforms (Common Application, Coalition Application, QuestBridge Application), vendors, and other sources, and advise the Dean and Director on strategic use of data fields in the recruitment and outreach of prospective students.
  • Responsible for data stewardship of all Admissions data and working closely with data custodians. Responsible for the overall integrity of all Admissions data in various systems (Slate, Banner, etc.).
  • Oversees and directs the admissions technical and support staff's operations to ensure the information in Slate, Banner, and related systems is accurate.
  • Regularly audit and oversee audit activities for prospect, inquiry, and application data. Leverage the skills and time of administrative staff to manually update data fields and assist in auditing data. Manage and annually review the Slate-Banner export.
  • Develop an ongoing cross-training schedule for the entire Admissions Office related to basic, moderate, and/or expert level tasks in Slate.
  • Develop a Slate team support schedule for admissions deans project areas and serve as a Slate team liaison to all admissions deans.
  • Prioritize and manage high-level projects with technical staff assistance.
  • Translate admissions-related functions and processes to technical staff and direct ongoing training efforts for staff to learn additional technical and admissions-related information.
  • Supervise the systems analyst and technical specialist. Prioritize and manage high-level projects with technical staff assistance.   • Lead quarterly meetings with the Dean, Director, Slate Team, Institutional Research, and ITS to review and support data governance.

ADMINISTRATIVE OPERATIONS

  • Oversee the administrative operations and coordination of tasks, such as publication inventory, inquiry letter deployment, admission packets, inquiry card data entry, and data auditing, among other activities.
  • Supervise the Operations Coordinator and meet weekly to discuss ongoing issues. Proactively problem-solve challenges as they arise.
  • Meet with all administrative assistants monthly and review administrative activities to reevaluate and develop new processes for prospect, inquiry, and applicant data input and updates.
  • In coordination with ITS, implement annual audits to ensure privacy and data security.

Required Qualifications:

  • Bachelor’s degree with five years of job-related experience or an equivalent combination of education and/or experience.
    Expert level user of Slate.
  • Expert proficiency of all Slate project areas, including queries, reports, forms, events, communications, database functions, etc.
  • Deep understanding and knowledge of systems and relational databases
  • Experience with reporting/data extraction tools and data analytics
  • Technical Banner Admissions Module experience
  • Knowledge of SQL
  • Familiarity with Microsoft Office, including Word, Excel, and PowerPoint, and Google Suite
  • Supervisory and staff management experience

Preferred Qualifications:

  • Bachelor of Arts degree, preferably strong liberal arts
  • Graduate degree
  • Knowledge and prior use of Banner and Argos
  • Five or more years of admissions experience
  • Knowledge and prior use of Common Application, Coalition Application, and/or QuestBridge Application
  • Proficiency in HTML
